Job Description:
This position will work closely with the Division of Academic Affairs and Enrollment Management and Student Affairs to enhance the overall scheduling and registration experience. This position will serve as a resource for information related to course building, the course and final exam schedule, the curricular process, the undergraduate and graduate catalog and more. This position represents the Registrar as directed and provides high quality customer assistance and project leadership on special projects.

Responsibilities:
  • Develop a comprehensive knowledge of the curriculum, policies, and student information system and serve as a resource for the campus about academic policies and the curricular process
  • Update, publish, and archive the undergraduate and graduate course catalog annually
  • Coordinate with department chairpersons and Office of Planning, Analysis and Accountability to develop and publish each semester's schedule of classes in the University's Student Information System (SIS); maintain classroom inventory; analyze data and run processes to assist with classroom assignments; develop each semester's registration sequence
  • Develop training materials for students related to registration and enrollment.
  • Develop training materials for the schedule building process to include time-slot recommendations, seat reservations, contact hours, etc.
  • Troubleshoot and assist students and faculty with scheduling/registration issues and concerns
  • Incorporate approved curriculum changes into the appropriate systems (i.e., PeopleSoft, catalog)
  • Enhance the current scheduling and registration process by utilizing various functionality in the SIS (waitlists, pre-req/co-requisite check, priority registration, learning communities for batch registration, cross-listing courses, etc.).
  • Partner with the Division of Technology to develop a process that ensures curriculum changes are reflected on the Academic Advising Reports and to discuss systems improvements and implementations
  • Assist Academic Affairs and Enrollment Management and Student Affairs with questions/concerns regarding the new curriculum change process through Modern Campus - Curriculum
  • Represent the Office of Registrar on curricular process related committees, workgroups, and in various meetings
  • Assist with graduation clearance for select undergraduate/graduate programs
  • Assist the Registrar's team with batch registration for incoming first-year students
  • Resolve problems and enhance various processes, projects, procedures, etc., by employing critical thinking skill and creativity
  • Other related duties as assigned or required to meet department, area/division, or University goals and objectives.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
  • Positive attitude and ability to plan and adapt to change.
  • Knowledge of laws, rules, regulations, policies and procedures relating to records including the Family Educational Rights and Privacy Act of 1974.
  • Knowledge of academic policies and procedures related to academic scheduling, student registration, curriculum management and instructional teaching spaces.
  • Technical expertise and proficiency working with software applications, queries/reporting tools, and spreadsheet applications.
  • Solid critical thinking skills to understand student, staff and faculty concerns.
  • Ability to collaborate effectively with various departments, divisions and cross-functional teams.
  • Strong use and knowledge of professional business etiquette in the workplace.
  • Ability to identify, solve, and follow through on problems.
  • Strong attention to detail and the ability to maintain accurate records in PeopleSoft.
  • Ability to manage multiple tasks and priorities.
  • Interpersonal, written and oral communication skills including correct English usage, grammar, spelling, punctuation and vocabulary.
  • Capacity for prioritizing conflicting demands.
  • Ability to gather facts and to analyze situations objectively, accurately, and in an organized fashion.
  • Ability to interpret, apply and communicate University, System of Maryland and institutional policies and processes.

Minimum Qualifications:
  • Bachelor's degree required
  • Three or more years of related work experience and/or scheduling efforts in higher education
  • Experience with reporting and analysis tools
  • General knowledge of higher education

Preferred Qualifications:
  • Experience working with systems and applications such PeopleSoft Campus Solutions, AdAstra, Modern Campus-Curriculum
  • Experience working in a Registrar's Office
  • Master's Degree

Working Conditions:

Environmental Conditions: The employee works under typical office conditions with extensive exposure to computer screens and frequent contact with faculty, students, family members, staff of other departments and the public, some of whom may be upset or angry.

Physical Conditions: Essential and marginal functions may require physical fitness requirements necessary to perform the job functions with or without accommodation, such as the ability to sit for prolonged periods; near visual acuity for reading computer screens, reports and schedules; repetitive use of hands for extensive use of keyboards.
